How to Invite Users and Set Up General Permissions

The User Management section allows administrators to invite team members to their Exacc business file and control what they can access. By inviting users, you can delegate tasks such as processing payroll, managing invoices, reconciling bank transactions, or entering timesheets – all while maintaining secure, role-based access to your financial data.

Exacc's permission system enables you to assign predefined roles or create custom permission sets tailored to your organisation's needs. This flexibility ensures that each user has appropriate access – from full administrative control to view-only access for specific modules.

Setting up user permissions correctly is crucial for data security, compliance, and operational efficiency. Proper access control helps prevent unauthorised changes to financial records, maintains audit trails, and ensures that sensitive information (such as payroll data or bank accounts) is only accessible to authorised personnel.

Ready to invite your first user? Follow the step-by-step guide below to send invitations and configure permissions for your team members in Exacc.

User Invitation & Permission Setup

This guide walks through two ways to invite a new user into your Exacc account and explains how to configure user permissions during the invitation process.

Overview

There are two ways to invite a new user in Exacc:

  • Option A: Directly from the Manage → Invite User menu
  • Option B: From the Manage → Users → + New User → Create Invitation path

Both options will lead to the same Invite User setup screen where permissions and user details are specified.

Best Practice

Follow the principle of least privilege – grant only the permissions necessary for the user to perform their job.

User Invitation Sent!

Your team member has been invited and their permissions are configured. They will receive an email invitation to access Exacc with the permissions you have assigned. You can modify their access levels at any time from the User Management section.
